Paper records vs a cloud system — the real costs
Paper feels free and software feels like "another subscription". Let's count honestly: time spent hunting for folders, retyping, errors and a server under the desk versus a predictable fee for a system that does part of the work.

The hidden costs of paper records
- Search time — several minutes to find a folder for every visit; at a dozen visits a day that becomes an hour of reception work.
- Retyping and dictating — the same data travels from card to referral, from referral to certificate.
- Illegibility and gaps — history from "the previous vet" usually arrives incomplete, so tests are duplicated and interviews start from zero.
- Ledgers kept separately — controlled substances, vaccinations, inventory: each in its own notebook, each to be reconciled at month end.
- Physical risk — flooding, fire, a lost folder. Paper has no backup.
Locally installed software: paper minus, server plus
An installed program removes part of the problem but adds its own costs: a server computer, backups on somebody's shoulders, updates done "someday", access only from the clinic. It is a model where the clinic's IT is run by… the clinic.
A cloud system: one predictable cost
In the cloud model you pay a subscription, and the invisible costs disappear: documentation is available from any computer, backups and updates are the vendor's job, statutory ledgers grow out of visit data, and the treatment history — shared across VetiCloud clinics — arrives together with the patient.
