How to build a veterinary clinic rota (without losing your mind)

Night shifts, holidays, sick leave, "I can't do Wednesdays" — building the clinic rota is the same puzzle every month. A few rules that simplify it, and a way to make it build itself.

A clinic rota is harder than in most industries: shift work meets night duty, required specialisations and seasonality. Add holidays and sick leave, and the spreadsheet stops being enough.

Rule 1: collect availability in advance — and in one place

The biggest chaos comes from availability reported "in passing": on a sticky note, in a messenger, in the corridor. Set one channel and one deadline (say, the 20th for the following month). Best of all, everyone enters their own availability — from their own account, with exceptions for holidays and sick leave.

Rule 2: write the rules down once instead of negotiating monthly

Hour limits, required days off, a maximum of night shifts per person — these should be standing conditions, not monthly arguments. The rota stops being a battlefield over "who has three nights again".

Rule 3: the appointment calendar must follow the rota

A classic mistake: reception books patients against theoretical opening hours rather than the real staffing. The result — visits booked with a vet who is not in, and endless rescheduling. The calendar should be built from the team rota, together with specialisations and room availability.

Rule 4: let the algorithm draft, let a human correct

Building from scratch by hand costs the manager hours. In VetiCloud the system drafts the rota itself — from submitted availability and your rules (hour limits, days off, night shifts) — and the manager only corrects the result. The clinic calendar and online booking then use the same rota, so patients book only genuinely staffed slots.

A rota that builds itself is not a luxury — it is what happens when availability and rules are data, not corridor conversations.
