Veterinary clinic rota software A rota that sees leave
and goes straight to booking.
In VetiCloud your clinic’s rota is built from the availability the team submits. Once published, it is seen by online booking and the vets’ phones, so nobody copies shift hours into several places.
- 8 weeksahead, the weekly template fills in fixed shifts by itself
- Cover listpeople who can step in when a shift is left without staff
- iCalshifts in Google, Apple or Outlook calendars
In a clinic with two consult rooms and a night shift, the rota usually lives in a spreadsheet or on a sheet of paper in the staff room. Someone takes leave, someone swaps a night, and the reception diary still shows a vet who will not be in that day. And nobody is quite sure which version of the sheet is the current one.
In VetiCloud the team submits availability, leave and willingness to work nights from their own account or from the app. The owner plans the week in a grid of people and days, and the planner’s suggestions keep an eye on hour limits and night shifts. Changes stay as a draft until someone publishes them. Only then are they seen by booking and the team.
How it works
-
01
Availability from the team
Everyone submits the days and hours they can work, and separately their absences and willingness to work nights. The clinic sets the deadline for submissions, and they are checked across every clinic the person works at.
-
02
Draft first, then publish
Shifts are painted onto the grid by dragging, and fixed hours are entered once in a weekly template. The staffing row shows days with gaps. A published week goes to online booking, and the team receives it by email and on their phones.
-
03
Leave as a request
Leave, sick leave or training requested from the panel or the app waits for the owner’s approval and does not change the rota until then. The decision, including a refusal with a reason, goes back to the employee as a notification.
-
04
Night shifts and cover
A night shift that runs past midnight is one shift, not two. When a shift is left without staff, the cover list suggests the people who can work then, and the chosen cover waits as a draft until the week is published.
Leave on Thursday and cover without ringing round the team
The vet from the second consult room requests leave for next Thursday in the app. The owner approves it in the evening on her phone, and the rota shows a staffing gap that afternoon. The cover list suggests vets who can work then. The chosen cover waits as a draft. The owner publishes the week, the covering vet gets a notification, and the free online slots for Thursday afternoon are already based on his shift.

How do you plan the rota in a veterinary clinic?
A veterinary clinic rota is planned from the availability the team submits and the staffing needed each day. The owner accepts the planner’s suggestions or adjusts shifts by hand, and once published the week goes to booking and to the staff.
Do employees submit their own availability?
Yes, from the panel or the app, for single days or a date range, with hours or for the whole day. The owner can also enter it on an employee’s behalf.
Does the rota cover night shifts?
Yes. A night shift that runs past midnight, for example 22:00–07:00, is one shift, not two, both in the grid and in the app.
What about a vet who works at two clinics?
They have one account, and in the app they see shifts from all clinics on one calendar. Availability and absence submissions are checked across all clinics at once.
Can shifts go into a phone calendar?
Yes. Shifts can be added to Google, Apple or Outlook calendars through iCal, and in the app they can be added to the phone’s own calendar.
