Time and attendance for vet clinics Working hours from card swipes,
not from memory.
Time and attendance in your clinic is based on card swipes when staff arrive and leave. Every correction leaves a trace with a reason, and the hours actually worked sit next to the hours planned in the rota.
- One card swiperecords arrival, departure or a break with the time
- Up to 7 dayswithout internet: swipes wait on the tablet and are sent by themselves
- PDF timesheetarrivals, departures, breaks and the rota plan, with space for signatures
The rota says who was meant to work, not who was actually there. Surgery overruns by an hour, reception stays late with the queue, a nurse comes in early to prepare the operating theatre, and a paper sign-in sheet rarely records any of it. When hours are settled at the end of the month there is no reliable record, and disputes over a quarter of an hour are decided by memory.
In VetiCloud, time and attendance starts at the staff entrance, where a tablet with a card reader stands. An employee holds up their card, and the tablet greets them by name and records the time. The owner sees the team’s month with the rota plan alongside, day by day for every person.
How it works
-
01
Clock in with a card at the door
The tablet at the entrance shows a large clock. Staff hold up their card when they arrive and when they leave, and fix a break or a mistake straight away on the screen.
-
02
Corrections with a reason
A forgotten clock-out is added by the owner or an authorised manager on the employee’s record, with a reason. The change history shows who corrected what and when, and the original swipes stay untouched.
-
03
Counting rules set by the clinic
The clinic itself sets rounding of swipes, a lateness tolerance and a paid break. Counted time then follows the clinic’s own rules, while the original swipes stay on record.
-
04
Monthly timesheet and export
Each person’s month prints as a PDF timesheet with space for signatures, with the rota plan alongside, and your accountant gets a CSV export of the month.
An emergency after the shift and a forgotten clock-out
A vet stays on after her shift with a blocked cat and leaves at 21:40 without swiping her card. In the morning she swipes in as usual. In the team’s month the previous day shows “no clock-out”, and the day is not counted until someone corrects it. The owner adds the clock-out at 21:40 with the reason “emergency after shift”. The correction goes into the change history, and the hours that day are counted according to the clinic’s settings.
Questions and answers
Your question is not here? Call us: +48 222 992 995
How do you keep time and attendance records in a veterinary practice?
All you need is a tablet with a card reader at the staff entrance and cards assigned to employees. Swipes, corrections and the team’s month are in the owner panel, and the timesheet prints as a PDF.
What equipment do I need to record working time with RFID cards?
A tablet with a web browser and an RFID card reader connected by USB, which works like a keyboard, so there is nothing to install.
What if the internet goes down at the clinic?
The tablet records swipes with the time and sends them by itself when the network is back, so no arrival or departure is lost.
Can the clinic set its own rules for counting time?
Yes. Rounding of swipes, a lateness tolerance and a paid break are set in the settings. Counted time follows these rules, and the original swipes stay unchanged.
Can employees see their own working time?
Yes. In the clinic panel they have a “My working hours” view with their own swipes and counted time, and vets and nurses also have it in the app. Nothing can be changed there.
