Veterinary practice management software The clinic’s result visible
before the month is closed.
Managing a veterinary practice starts with figures the program produces anyway, during visits, in stock and from purchase invoices. From them VetiCloud builds the balance for the month and the day, and a picture of how each site works, including a whole group.
- 12 monthsrevenue and cost trend on one chart
- Day by dayrevenue, costs and result for every day of the month
- Granted accessa manager or accountant sees only the areas assigned to them
Asked how much the clinic made last month, the owner usually answers from memory or waits for figures from the accountant. The practice software shows the number of visits, and the bank statement shows the balance. Drug usage, purchase invoices and the lease payment for the ultrasound machine sit in three other places and are put together by hand in a spreadsheet.
In VetiCloud this data is produced during normal work, so managing a veterinary practice does not need a separate spreadsheet, and the balance calculates itself. Revenue belongs to the day of the visit, whenever payment is made, and costs come from stock and purchase invoices, plus fixed costs entered once. A separate screen shows how the clinic is working: waiting times, hourly workload and the number of visits per vet.
How it works
-
01
Balance for the month and the day
Revenue, costs, result and margin are front and centre, with a twelve-month trend below. Clicking a day opens its breakdown into revenue and costs.
-
02
Costs without retyping
Usage and losses come from stock, and a purchase invoice becomes a fixed or variable cost. The program attaches a lease payment with the agreement number on the invoice to the right cost by itself.
-
03
Revenue on the day of the visit
Revenue belongs to the day of the visit, even when the owner pays later, so the result for a day shows the work done that day, not just the money that came in.
-
04
One site or a group
With several sites the view starts with a comparison table showing visits, revenue and waiting time for each of them. The “Worth checking” list points to the biggest changes for the worse, for example a growing number of visits the owner did not turn up for.
A Saturday queue you can see in the figures
The owner of two clinics reviews the last thirty days. The “Worth checking” list points to the branch: waiting time there has gone up by a dozen or so minutes. The hourly workload chart shows a queue on Saturdays between 10:00 and 12:00, when one vet is seeing patients. In the branch’s balance, Saturday revenue grows week on week. The owner adds a second Saturday shift to the rota, and in a month she will compare the same indicator with the previous period.
Questions and answers
Your question is not here? Call us: +48 222 992 995
Where does the program get the data for the veterinary clinic balance?
From visits and sales, stock and purchase invoices, that is from work that happens in the program anyway. Revenue counts on the day of the visit, even when the owner pays later.
Can costs from outside the program be included, such as a lease?
Yes. Rent, utilities or a lease payment are added as a fixed cost with a validity period or as a variable cost with a date.
How do you manage a group of veterinary clinics in one program?
With several sites, monitoring starts with totals broken down by site and a comparison table, and from the list you go into the details of any one of them. Each site also has its own balance.
Can a manager see results without full access?
Yes. The owner gives a specific account access to selected areas of one clinic, separately for viewing and for making changes. The subscription, agreements with VetiCloud and permissions stay with the owner.
Can the clinic’s results be seen on a phone?
Yes. An account with management access has an Admin mode in the VetiCloud app with the result for the day, week and month, the till balance and amounts owed.
