Veterinary drug inventory software A drug comes off stock
where it was given.
In VetiCloud the veterinary drug inventory is settled during treatment. A drug added to a visit or a ward round comes off stock from a specific batch, and the program prepares the order proposal by itself.
- FEFOwithout a chosen batch, the one with the nearest expiry date is dispensed
- PZ, MMP, UTYL, INWstock documents for receipts, transfers, disposals and stocktakes, numbered by the clinic’s own counter
- Draft orderone for each supplier, ready to send
Stock in a clinic drifts away from reality quietly. A vial used on the night shift is not taken off stock, the box with the nearer expiry date sits at the back of the cupboard, and everyone finds out that maropitant has run out with a patient who is vomiting right now. A stocktake once a year shows the discrepancies, but by then nobody remembers where they came from.
In VetiCloud every stock movement, from receiving a delivery to disposal, goes through one log. A drug added to an ongoing visit is set aside for the patient and comes off stock when the visit is closed, from the batch with the nearest expiry date or from the one the vet chose. Mistakes are not deleted but reversed with a correcting entry, so the history of every product stays complete.
How it works
-
01
Set aside for the patient
A drug added to an ongoing visit or a hospital ward round is set aside for the patient straight away, so the till will not sell a pack the vet has already planned for. It comes off stock when the visit is closed, from the batch with the nearest expiry date.
-
02
Pack, blister, dose
You buy a pack and dispense a tablet, a blister or a millilitre. Each portion can have its own price, and the bill and stock are calculated from the same item.
-
03
Stocktake with a scanner
Each scan adds a pack, and discrepancies are posted on the stocktake date. Closing requires every item to be counted and a reason for each discrepancy, and the record prints as a stock count sheet.
-
04
Order proposal
The program prepares an order proposal split between suppliers. The proposal turns into draft orders, one per supplier, which can be adjusted before sending.
The Monday order without checking the cupboards
On Monday morning the practice manager opens the stock analysis. The program has worked out how fast each item is used in the clinic: there is enough maropitant for two days and meloxicam for five, and less Ringer’s solution is left than the weekend out-of-hours shift usually uses. The shortages go into the order proposal, split between two wholesalers by their prices. The manager corrects one quantity and sends two orders. On Tuesday the delivery is received into stock with batches and expiry dates, and nobody has counted boxes on the shelves.
Questions and answers
Your question is not here? Call us: +48 222 992 995
Do we have to enter the whole drug range by hand?
No. A product is created once with its pack and dispensing units, and new products can also be created right when a delivery is received.
When does a drug come off stock?
When the visit is closed or when it is sold at the till. Cancelling the visit releases the reserved stock back for sale.
Can the drug inventory handle several consult rooms?
Yes. Each consult room can have its own sub-store, and the program moves the missing quantity from other locations and records the transfer. The restock list suggests what to bring to the consult room so that it lasts a week.
How does a stocktake work in the program?
You set it up for a chosen day, count with a scanner or by hand and close it when every item is counted and every discrepancy has a reason. The program also suggests perpetual stocktaking, split into smaller parts over the year.
Can the stock period be closed for the accountant?
Yes. The owner sets the date up to which stock is closed, and in that period no receipt, transfer or stocktake can be saved any more. The program rebuilds the stock level for any past date from the log.
